1. SUMMARY
As an Assistant working at NATO HQ within the International Staff (IS), you will support a section/team within one or more responsibilities outlined below:
✅ Managing administrative, organisational, financial and project support tasks to keep your team running efficiently;
✅ Coordinating meetings, events, and/or training sessions to ensure seamless planning.;
✅ Handle operations and queries relating to budget execution, general accounting and reporting, fixed asset accounting, financial reporting, project accounting.
✅ Supporting internal projects and office administration as needed and depending on the work of your section / team;
✅ Handling information and knowledge management, including updating databases and records;
✅ Identifying opportunities to improve office procedures and adapt to new challenges;
✅ Continuously developing new skills in planning, technology and communication to grow your career and help your section continuously innovate;
✅ Taking on additional administrative duties based on your team’s needs.

2. IMPORTANT NOTE
Through this Talent pooling exercise, NATO IS is looking to appoint candidates for a number of Assistant positions ranging from grades 5/8, 8, 8/10 and 10 for different Divisions.
Contract types will also vary – between established and project posts – which will be clearly indicated and explained once a candidate is recommended for a post.
On contract types, a number of roles are foreseen to be either established posts or project posts.
- Established posts: In accordance with the NATO Civilian Personnel Regulations, the successful candidate will receive a definite duration contract of 3 years, which may be followed by an indefinite duration contract.
- Project posts: Are required for a limited period of time to support a given project. As employment in this post is of limited duration, the successful applicant will be offered a definite duration contract of 3 years’ duration, which may be renewed for a period of up to 3 years if required to support this project.
If the successful applicant is seconded from the national administration of one of NATO’s member States, a 3-year definite duration contract will be offered, which may be renewed for a further period of up to 3 years subject to the agreement of the national authority concerned. The maximum period of service in the post as a seconded staff member is six years.
Serving staff will be offered a contract in accordance with the NATO Civilian Personnel Regulations.
Employment offers are subject to the contract policy in use at the time of appointment.
In case of appointment on twin-grade posts:
Irrespective of previous qualifications and experience, candidates for twin-graded posts will be appointed at the lower grade. Advancement to the higher grade is not automatic, and will not normally take place during the first three years of service in the post.
Under specific circumstances, serving staff members may be appointed directly to the higher grade, and a period of three years might be reduced by up to twenty four months for external candidates. These circumstances are described in the IS directive on twin-graded posts.
